Booking

How do I book a shoot?

Pick a session on the homepage, choose a date and time on our calendar, and pay the 50% deposit. You'll get a confirmation email immediately. The remaining balance is due on or before shoot day.

Can I change my date or time after booking?

Yes. The same booking link from your confirmation email lets you reschedule subject to availability. If you're moving the date more than 7 days out from your shoot, there's no fee.

What if my package isn't listed?

Use the custom session form on the homepage to describe what you need (group shoot, lifestyle, branding, wedding, product). We'll either book it manually or refer you to a vetted photographer in our network if it's outside our scope.

Payment

How much is the deposit?

50% of the package price, due at booking. Holds your date. The remaining 50% is due on or before shoot day.

For example, a Casting session ($300) needs a $150 deposit at booking and $150 on shoot day.

What payment methods do you accept?

Online deposits go through Stripe (credit card, debit card, ACH, Apple Pay, Google Pay). For balance and add-on payments, we also accept Zelle and cash. Card payments have a 3.5% processing fee added; ACH, Zelle, and cash don't.

If you use Zelle, follow the link we send you, attach a screenshot of the receipt, and tap "I sent it" so we get the confirmation right away.

Do you charge a processing fee?

Card payments include a 3.5% surcharge to cover Stripe processing. ACH, Zelle, and cash have no fee.

What if I want extra retouched images?

You can add images after the shoot. We'll send you a quick payment link with the exact charge — typically a flat per-image rate, depending on the retouch level. You don't have to decide on shoot day.

Cancellation and rescheduling

What's the cancellation policy?

It's tiered by how much notice you give:

  • More than 7 days out: Full refund of your deposit OR free reschedule.
  • 3 to 7 days out: Deposit is forfeited. One free reschedule within 90 days.
  • Less than 72 hours: Deposit is forfeited. A new date requires a fresh 50% deposit.
  • No-show or same-day: Deposit is forfeited, full balance is charged, and future bookings are at our discretion.

Severe weather, illness, or photographer emergencies always get a courtesy reschedule at no cost.

I'm sick the morning of my shoot. What do I do?

Email hola@theheadshotclub.co as soon as you know — we'd rather move it than have you push through a shoot you'll regret. Illness gets a courtesy reschedule.

Do I get a refund if I cancel?

Yes, with more than 7 days notice. Inside 7 days, the deposit covers our reserved studio + photographer time and is forfeited. Refunds (when applicable) hit your original payment method within 5 to 10 business days.

Shoot day

What should I wear?

You'll get a wardrobe email a few days before with specific guidance for your profession. Short version: solid colors, well-fitted, no tiny patterns, two or three options total.

How early should I arrive?

5 to 10 minutes early. The studio address and parking notes are in your confirmation email and the prep email we send 24 hours out.

Will makeup or styling be available on site?

Hair and makeup are available as add-ons. Picking makeup at booking adds 40 minutes to your session so we have time to do it well. Mention it during booking or reply to your confirmation email and we'll coordinate with our stylist.

Can I bring someone with me?

Of course. We have seating for one or two guests. For larger entourages, give us a heads up so we can plan the studio layout.

Privacy and your data

What data do you collect?

Just what's needed to run a shoot: name, email, phone, billing details (handled by Stripe), and any notes you share during booking. We don't sell or share your information with third-party advertisers.

Will my photos appear on your website or social media?

Only crops that don't show identifying features (an eye, a sleeve, a shoulder) — never a recognizable image of you without your written permission. If you'd prefer we use nothing at all, just say so via email and we'll honor it.

How do I unsubscribe from emails?

Every newsletter has an unsubscribe link in the footer. For booking-related emails (confirmations, prep, gallery delivery), reply with "stop" and we'll switch to text or phone for your shoot.

How do I delete my data?

Email hola@theheadshotclub.co with the subject "Data deletion request." We'll remove your contact info within 14 days. Booking + payment records are retained for IRS / accounting purposes (7 years), but they're not used for marketing.
