Booking and Confirmation

When you book a session through our online calendar, you agree to these terms. A booking is confirmed once you receive an automated confirmation email from The Headshot Club. Your session date and time are reserved exclusively for you from that moment forward.

If you need to make changes to your booking (date, time, or package), you may do so through the same booking link used to schedule, subject to availability.

Payment and Deposits

A 50% deposit is required to hold your session date at the time of booking. This deposit is processed immediately via Stripe and is non-refundable except as detailed in our Refund and Cancellation policies. The remaining 50% balance is due on the day of your shoot and can be paid before arrival or at the studio.

All pricing is in USD. By booking, you consent to being charged for the deposit and (if applicable) any add-ons selected during customization. Payment receipts are sent to the email address you provide at booking.

Returned or disputed charges may result in cancellation of your session and future bookings at our discretion.

Session Preparation and Expectations

Before your session, you will receive a wardrobe consultation email with guidance on colors, styles, and positioning that work best for professional headshots. We encourage you to ask questions and provide any reference images or direction at that time.

Please plan to arrive 5 to 10 minutes early. Sessions are directed by your photographer, and we recommend being well rested and hydrated. If you need to reschedule due to illness or emergency, contact us as soon as possible.

The Headshot Club reserves the right to refuse service to clients who are disruptive, disrespectful, or unable to follow studio direction. No refund will be issued in this case.

Image Delivery and Licensing

Final images are delivered via Google Drive link within 10 business days of your session. Images are color corrected and retouched to match your package. You may request minor adjustments within 7 days of receiving your gallery; significant rework may incur additional fees.

You retain all rights to use your final images for personal and professional purposes, including LinkedIn, resumes, professional profiles, and promotional materials. The Headshot Club will not use your portrait or any identifying imagery in our portfolio, website, social media, or marketing materials without your explicit, opt-in consent. We ask separately, at booking or after the shoot, and the default is no until you say otherwise.

All images remain the creative and intellectual property of The Headshot Club. You may not redistribute, resell, or relicense the images to third parties.

Cancellation and Rescheduling

More than 7 days notice: You may cancel for a full refund of your deposit or choose to reschedule at no additional cost.

3 to 7 days notice: Your deposit is forfeited, but you are permitted one free reschedule within 90 days.

Less than 72 hours notice: Your deposit is forfeited, and any future reschedule requires payment of 50% of your original package price to secure the new date.

No-show or same-day cancellation: Your deposit is forfeited, the remaining balance will be charged in full, and you forfeit future booking privileges.

In case of severe weather, natural disaster, or photographer illness, The Headshot Club will offer a courtesy reschedule at no cost. You will be notified as soon as possible, and alternate dates will be offered within 60 days.

Liability and Release

By attending your session, you assume all risk of personal injury or property damage that may occur at the studio. The Headshot Club is not responsible for loss, theft, or damage to personal belongings during your visit.

You grant The Headshot Club permission to photograph you during your session and to use those images for the purposes outlined in this agreement and our Privacy Policy. You release the photographer and studio from any claims related to the use of your image in accordance with this agreement.

Modifications to Terms

The Headshot Club may update these terms at any time. Changes are effective immediately upon posting to our website. We encourage you to review these terms periodically to stay informed of any updates. Continued use of our services following a change constitutes acceptance of the new terms.

Governing Law

These terms and all related agreements are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any legal action or proceeding related to your booking shall be brought exclusively in the state or federal courts located in Palm Beach County, Florida, and you consent to the jurisdiction and venue of these courts.
