Deposit Structure

A 50% deposit is required to confirm your session date at the time of booking. The remaining 50% balance is due on the day of your shoot. Refund eligibility is determined by cancellation notice and timing, as outlined below.

Refund and Rescheduling Terms

More Than 7 Days Notice

If you cancel more than 7 days before your scheduled session, you are eligible for a full refund of your deposit or you may reschedule at no additional cost to a new date within 90 days.

Card Payments — 3% Processing Fee

Payments made by credit or debit card are always refunded minus the 3% card processing fee, even when you qualify for a full refund — the card networks keep that fee and it cannot be recovered. Payments made by Zelle or bank transfer are refunded in full when eligible. Refunds are issued to the original payment method and typically arrive within 5–10 business days.

3 to 7 Days Notice

If you cancel between 3 and 7 days before your session, your deposit is forfeited. However, you are permitted one free reschedule within 90 days. The balance due for the rescheduled session remains the original 50%, and you owe no additional fees.

Less Than 72 Hours Notice

If you cancel less than 72 hours before your session, your deposit is forfeited. If you wish to reschedule, you must pay 50% of your original package price to secure a new date. This new payment is in addition to the deposit already charged and cannot be refunded.

No-Show or Same-Day Cancellation

If you do not appear for your scheduled session or cancel on the day of the shoot, your deposit is forfeited and your remaining balance will be charged in full to the card on file. You will also forfeit the right to book future sessions with The Headshot Club.

Weather and Emergency Exceptions

In the event of severe weather, natural disaster, or photographer illness, The Headshot Club will offer you a courtesy reschedule at no cost. You will be notified as soon as possible, and we will work to accommodate your schedule within 60 days. No refund is issued in these circumstances unless you choose not to reschedule.

How to Request a Refund or Reschedule

To cancel or reschedule your session, contact hola@theheadshotclub.co as soon as possible. Include your booking date and confirmation number. We will review your request, confirm your refund or reschedule eligibility, and process your request within 5 business days. Refunds are issued to the original payment method.
